Switching to RentVault from Property Hawk, Landlord Vision or Spreadsheets

Moving your landlord records to RentVault takes most landlords about 20 minutes. This guide covers exactly what to export from your current platform, what RentVault imports automatically, and what needs a few minutes of manual entry.

How the switch works

  1. Sign up for the free 14-day trial — no card required — and follow the guided setup wizard.
  2. Add your properties and tenants (a couple of minutes each with UK postcode lookup).
  3. Export your income and expense history from your old platform or spreadsheet as CSV.
  4. Upload the CSV in Finance → Import. RentVault matches rent to tenants, categorises expenses and skips duplicates — you review everything before it is saved.
  5. Add your compliance certificate dates and the dashboard compliance score shows anything still missing.

Exporting from Property Hawk

Open each property's Cash Book (income and expenditure), set the date range — from 6 April of the current tax year as a minimum — and export the transactions as CSV. Property Hawk exports are per-property, so you will have one file per property; RentVault lets you assign each import to the right property during review.

Exporting from Landlord Vision

Go to Reports, open the Transaction Listing (or Income & Expenditure) report, set your date range and export as CSV. One file can cover your whole portfolio. Tenancy and property details export from Landlord Vision as PDFs, so add properties and tenants in RentVault manually — it takes a few minutes with postcode lookup.

Importing from spreadsheets (Excel / Google Sheets)

If your spreadsheet has one row per transaction with columns for date, description and amount (a single signed amount column, or separate money-in / money-out columns), save it as CSV and upload it directly. UK date format (DD/MM/YYYY) is what RentVault expects.

What needs manual entry

  • Properties — address, type and purchase details (around 2 minutes each with postcode lookup).
  • Tenants and tenancies — names, rent amount and deposit protection details.
  • Compliance certificate dates — gas safety, EICR, EPC and HMO licence.
  • Mortgage and insurance details (optional, for the full financial picture).
